The information we collect and process depends on how you interact with us, the features you use, and the privacy settings you select on your device.

Where we need your consent
Where we need consent to use your personal information, we will clearly ask you for this — and you can withdraw that consent at any time. For example, we may ask you to positively opt in to receiving marketing communications when you first log in to your account.
Sharing / enabling others to process your information
If you are a Teacher, we need to share some of your personal information with your School. In order to operate the Life Lessons Website and Platform and provide our services, we also use carefully selected companies, who may process your information on our behalf.
We make sure these companies take security measures to protect your information in line with our policies. We do not allow them to use your personal information for their own purposes, and we only permit them to process it as necessary and in accordance with our instructions.
In some circumstances we may need to share your personal information with a data protection regulator, or to comply with the law or a legal process. We may also do so where we have another legitimate interest that is not outweighed by your interests and fundamental rights, for example to maintain the security of our computer systems.
Who we share your information with
- Your School — if you are a Teacher, we share some of your information with your School so that you and they can use the Platform as intended.
- Amazon Web Services (AWS) — hosts the Life Lessons Platform, including Teacher account credentials, in the UK.
- Southern Sky Technology — our UK-based technical development partner, who manage our AWS hosting environment, carry out development work on the Platform, and maintain security measures and backups on our behalf. Southern Sky Technology has access to the systems and infrastructure necessary to do this work, but not to Teacher personal data itself.
- HubSpot — our customer relationship management system, used to hold School and customer contact information and to run staff surveys, hosted in the EU.
- Google — used to host lesson assets (in Google Slides format). No personal information is stored with Google as part of this hosting.
- Google Analytics — used to obtain statistics and insights regarding access to and use of the Life Lessons Website.
- Smart Survey — used to run impact surveys. Responses are collected anonymously and are not linked back to you.
Where we process and store your information, including international transfers
Teacher account data (including login credentials) is hosted on AWS, in the UK. School and customer contact data, and staff survey data, is held in HubSpot, hosted in the EU. Lesson assets are hosted via Google; no personal information forms part of that hosting. Impact survey data is collected anonymously via Smart Survey, whose core survey data is stored in the UK.
If you are a Visitor, we will only process and store your personal information in the UK/EEA.
Where any of our processors transfer personal information outside the UK or EEA (for example, for support, maintenance, or backup purposes), we ensure this is protected by an appropriate safeguard recognised under UK GDPR:
- AWS — the UK International Data Transfer Addendum (as part of AWS’s UK GDPR Addendum), applied automatically to UK-originating data.
- Southern Sky Technology — UK-based; no international transfer occurs. Their access to our systems is governed by a signed data processing agreement.
- HubSpot — the EU Standard Contractual Clauses together with the UK International Data Transfer Addendum, per HubSpot’s Data Processing Agreement.
- Google (asset hosting) and Google Analytics — the EU Standard Contractual Clauses together with the UK Addendum; Google has also adopted the UK Extension to the EU-US Data Privacy Framework as an alternative transfer mechanism.
- Smart Survey — a UK-based provider; response data is stored in UK data centres as standard. The impact survey data Smart Survey collects on our behalf is anonymous and not linked back to individuals.
Keeping your information secure
We have designed the Life Lessons Website and Platform with the security of your personal information in mind, and we have put in place technical and organisational measures to safeguard it, including:
- data is encrypted at ingress, egress, and at rest;
- direct access to the server environment is restricted using SSH keys and IP allow-listing;
- administrator access to the application and hosting environment is limited to Life Lessons employees and Southern Sky Technology, our technical development partner, who manage this on our behalf under a signed data processing agreement, and only where appropriate due diligence and legal protections have been put in place;
- daily backups are retained for at least 5 days, and weekly backups for at least 30 days; and
- we monitor site availability, disk usage, CPU, and memory utilisation across relevant systems, and review these statistics regularly.
Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your information, we cannot guarantee the security of information transmitted via the Life Lessons Website; any transmission is at your own risk. Once we have received your information, we use strict procedures and security features to try to prevent unauthorised access.
If you are worried that your account or your information might be at risk, for example if somebody else has found out your password, please contact us.
Retaining your information
This section only applies if you are in the EU/UK.
We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for any legal, accounting, or reporting obligations. To decide how long we keep information, we consider the type of information, how sensitive it is, the risk of harm if it were misused, and the reasons we are using it.
- If you are a Teacher, we will keep your information for as long as you continue to use the Platform. If you do not use the Platform for 4 years, we will delete your information.
- If the School Agreement terminates, we may delete some or all of your information from the Platform. We will tell your School before we do so, so that you can download your information if you wish.
- If you are a Visitor and you do not access the Life Lessons Website for one year, we will delete your information.
We may keep certain information, such as your name and e-mail address, for longer periods than stated above if you have agreed to us using it, for example for keeping in touch about our products or services, or for promotional purposes.
In some circumstances we may anonymise your information, meaning it is no longer connected to, or about, you. If we do this, we may use this information without further permission from you. Even if you ask us to delete your information, we may still need to keep it in a form that does not identify you.
Please contact our privacy contact, Jamie O’Connell, at jamie@lifelessons.co.uk if you would like further details on how long we keep your information.
Updating and accessing your information
This section only applies if you are in the EU/UK.
You have the right under UK/EU data protection law to access personal information held about you, subject to certain conditions, and to ask for it to be changed or deleted. If you would like to access or amend the personal information we hold about you, or if you would like us to stop using it, please contact us.
Your rights
This section only applies if you are in the EU/UK.
By law, you have the following rights with regard to your personal information:
- The right to be informed — to be told, clearly and transparently, how your personal information is used. This Policy is how we meet that obligation.
- The right of access — you can obtain confirmation as to whether your personal information is being processed and, if so, request a copy of it (a “data subject access request”). We will need you to prove your identity before releasing any personal information.
- The right to rectification — you can ask us to correct any personal information that we hold about you.
- The right to erasure — you can ask us to delete personal information that we hold about you, unless we have a legal right to retain it.
- The right to restrict processing — you can ask us to temporarily stop processing information about you, for example while you dispute its accuracy.
- The right to data portability — in some circumstances, you can ask us to transfer a copy of your personal information to someone else.
- The right to object — you can object to processing based on our legitimate interests where something about your particular situation makes you want to object, and you can object to direct marketing at any time, without restriction.
- Rights related to automated decision-making and profiling — see the “Automated decision-making” section below.
If you ask us to stop processing your personal information in a certain way, or to delete it, and we need that information to provide the Life Lessons Website or Platform to you, you may not be able to continue to use it. This does not apply to your right to object to direct marketing, which can be exercised at any time without restriction.
You will not normally have to pay a fee to exercise these rights. However, we may charge a reasonable fee, or refuse to comply, if a request is unreasonable or excessive.
We may need to request specific information from you to confirm your identity and your right to access the information, or to exercise any other right. This is a security measure to ensure personal information is not disclosed to anyone who has no right to receive it.
Where you have consented to our use of your personal information for a specific purpose, you can withdraw that consent at any time by contacting us. Once we receive notification of withdrawal, we will stop processing your information for that purpose, unless we have another legal basis for doing so.
Automated decision-making
Life Lessons does not carry out any automated decision-making or profiling that produces legal or similarly significant effects on Teachers or Visitors. All decisions affecting your use of the Platform involve human review.
Marketing
This section only applies if you are in the EU/UK.
If you complete an opt-in form on the Life Lessons Website (for example when requesting a demo or downloading a resource), we will ask whether you would like to receive marketing communications from us about our products and services. We only send marketing emails where you have positively opted in, and you can withdraw your consent at any time by contacting us or using the unsubscribe link in any marketing email.
If you are a Teacher at a School that is a Life Lessons customer, we may send you service-related communications necessary for your use of the Platform (for example, account or product updates). These are not marketing communications, and are sent on the basis of our legitimate interest in supporting your use of a service your School has subscribed to, rather than on the basis of your consent. We do not send Teachers separate marketing communications unless they have separately opted in via the Website.
We will not provide your personal information to any other third-party businesses for marketing purposes.
Other websites
The Life Lessons Website contains links to other websites, such as Facebook, X (formerly Twitter), and LinkedIn. This Policy only applies to the Life Lessons Website, so when you link to other websites, you should read their own privacy policies.
